Castlegregory Agricultural Show — Terms & Conditions for Trade Exhibitors
1. DEFINITIONS:
SHOW means the Castlegregory Agricultural Show, which is taking place in Castlegregory, Co. Kerry.
APPLICATION FORM means the official application form issued by the Castlegregory Agricultural Show Committee, which includes the terms and details for trade stand space at the Show.
EXHIBITOR means any person or body who/which has entered into an agreement with the Show management for a trade stand at the Show.
FEE means the fees specified in the Application and payable to the Show by the Exhibitor.
STAND SPACE means the trade stand space on Site allocated to the Exhibitor by the Show personnel.
SHOW MANAGEMENT refers to the members of the Show Committee who are responsible for managing the Show or specific areas of its activities.
2. APPLICATION / ACCEPTANCE:
Applications for trade stand space must be made on the official Application Form or via the online facility on the show website. The application must be fully completed, and the Exhibitor must agree to all relevant terms and conditions. If an application is not accepted, payment will be returned. Refunds for other reasons will not be considered.
Submission of an application does not guarantee allocation of space. Show management has full discretion to accept, reject, reduce, or withdraw trade stand space.
Exhibitors apply with full understanding that the Castlegregory Agricultural Show Committee is not liable for any losses arising from participation. All Exhibitors must comply with all rules and directions issued by Show Management. Disputes will be resolved at the absolute discretion of the Castlegregory Agricultural Show Committee.
3. TRADING AND SELLING OF GOODS:
Only declared goods and services may be sold. Prohibited items include pellet guns, knives, water pistols, balloons, and any hazardous products. All selling must occur within the allocated trade stand area. Non-compliance will result in removal from the site with no refund.
4. FEES:
Fees must be paid in full with the application. Fees are non-refundable and non-transferable after acceptance.
Additional fees may apply for payments made in non-Euro currencies.
Sponsors may receive free space proportional to their contribution. Sponsorship applications must be submitted by Friday 1st May.
5. ENTRY OF STAND EQUIPMENT AND OPENING TIMES:
Access from Friday at 10 a.m. Heavy equipment must be in place by 6 p.m. Light equipment (by car/van) also by 6 p.m.
No access for setup on Show Days due to safety.
Trade stand areas become pedestrian-only after 9 a.m. on show days.
Exhibits must be open by 9 a.m. and remain open until 6 p.m. on show days.
All stands must be dismantled and removed by 6 p.m. on the Monday after the Show. Late removal will incur penalties.
6. SITE / STAND SPACE:
Final location of trade stands is at the discretion of Show Management.
All vehicles must park in the designated exhibitor car park, unless within stand space.
No sub-letting or sharing of stands permitted. Exhibitors must avoid activities affecting other exhibitors.
Bark mulch may only be used with underlay and must be removed afterward. Stands must remain tidy.
7. CHANGES OR CANCELLATION:
Show Management may cancel, postpone or modify the Show at its discretion. No compensation will be offered for such changes. Exhibitors should arrange appropriate insurance.
Force majeure events (e.g. weather, strikes, acts of God) are outside the control of the Show and may impact operations.
8. PASSES:
Pass allocations:
3m x 3m: 2 passes
6m x 3m: 3 passes
9m x 3m: 4 passes
Motor Trade (10m x 15m): 4 passes
Max of 10 passes for large exhibitors. Additional passes: €10 (pre-paid).
Contact the Show Office for extra pass purchases.
All staff must carry passes/ID. One vehicle per exhibitor permitted on-site before 9 a.m., exit after 6:30 p.m.
9. SALES AND ADVERTISING:
All sales/advertising must remain within the exhibitor’s allocated stand.
The Show is not responsible for an exhibitor’s level of sales. Branding must reflect the family-friendly nature of the event.
10. FUNDRAISING / COLLECTIONS:
Fundraising or collections must receive written approval from Show Management.
Only one official charity will be permitted to collect at the Show annually.
11. CLOSURE OF STANDS / EXITING:
No stands may close before 6 p.m. on the final Show day.
Stand areas must be fully cleared of litter.
Failure to comply will result in a €200 fine. Exhibitors are advised to take a photo of their cleared stand before leaving.
12. REGULATIONS AND HEALTH & SAFETY:
Exhibitors must comply with all relevant health, safety, and welfare legislation.
All directions from the Safety Officer must be followed at all times.
13. INSURANCE — PUBLIC LIABILITY:
Minimum €3.5 million public liability insurance is required.
A letter from the exhibitor’s insurer or broker confirming cover and specifically indemnifying the Castlegregory Agricultural Show, its organisers, agents, contractors, and landowners must be submitted with the application.
No entry will be permitted without this insurance evidence.
14. LOSS AND DAMAGE:
The Castlegregory Agricultural Show Committee is not responsible for loss or damage. Exhibitors must arrange appropriate cover.
15. INDEMNITY:
Exhibitors shall indemnify the Show against any claims or losses resulting from breach of these terms or any negligent acts.
16. LIMITS ON LIABILITY:
General site security will be provided. Each Exhibitor is responsible for the security of their own area and property.
The Show accepts no liability for damage, personal injury, or other loss. Exhibitors are encouraged to insure all exhibits and personnel.
17. BREACH OF TERMS:
Breach of these conditions may result in immediate removal from the Show and cancellation of participation, with no refund.
18. FULL DOCUMENTATION:
All applications must be fully completed and include insurance documents before the deadline of Friday 1st May.
